Start with your parts list
A spreadsheet works well for mixed orders. Give each size its own row, with the product name, drawing or standard, material, finish and quantity.
Confirm what is being quoted
Check the specification and any proposed alternative. Ask which documents and inspection results are included, rather than assuming that all items carry the same certification.
Check samples and packing
Where fit or finish matters, agree a sample before a batch order. Confirm inner-pack quantities, carton labels and any separation needed between sizes.
Agree commercial terms
Lead time, payment, freight and the named delivery place belong in the written quotation. A unit price alone does not establish a delivered price.
